Acceptance of terms

By accessing or using RealtoRHub AI (“Service”), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. These terms constitute a legally binding agreement between you and RealtoRHub AI.

Eligibility

The Service is intended for licensed real estate agents and brokerages operating in Ontario, Canada. By registering, you represent that you hold or work under a valid Ontario real estate license issued by the Real Estate Council of Ontario (RECO) or equivalent provincial authority.

Permitted use

You may use the Service to organise and screen rental applications for properties you are actively representing. You agree not to use the Service to make discriminatory screening decisions contrary to the Ontario Human Rights Code, the Residential Tenancies Act, or any applicable federal or provincial law.

AI-generated content — important disclaimer

The Service uses artificial intelligence to analyse documents, generate summaries, flag potential issues, and draft follow-up communications (“AI Output”). You acknowledge and agree that:

• AI Output is for informational and organisational purposes only. It does not constitute legal advice, financial advice, a consumer credit report, a background check, or any other regulated professional service. Nothing in AI Output should be relied upon as a substitute for independent professional judgment.

• You must independently verify all AI Output before relying on it to make any tenancy decision. AI-generated assessments may contain errors, omissions, hallucinations, or inaccuracies. RealtoRHub AI makes no warranty that AI Output is accurate, complete, or current.

• RealtoRHub AI is not a consumer reporting agency and does not provide consumer reports as defined under federal or provincial consumer-protection legislation. Reports produced by the Service are workflow-organisation tools and must not be used as a substitute for a lawful credit check, employment verification, or background investigation obtained from a licensed reporting agency.

• You bear sole responsibility for any tenancy decisions you make, including decisions influenced by AI Output. Use of AI Output to justify a decision that violates the Ontario Human Rights Code, the Residential Tenancies Act, or any other applicable law is strictly prohibited and solely your legal liability.

Your data and data ownership

You retain full ownership of all data you upload to the Service, including rental application documents and applicant information (“Your Content”). You grant RealtoRHub AI a limited, non-exclusive licence to process Your Content solely to provide and improve the Service.

Applicant consent: You are responsible for ensuring you have obtained all necessary consents from rental applicants before uploading their personal information. By uploading applicant data, you represent that collecting and sharing that data with a third-party processing service is disclosed in your agency’s privacy practices and, where required by law, consented to by the applicant.

Data processing: We act as a data processor on your behalf with respect to applicant personal information. We do not sell, rent, or share applicant data with third parties except as required to deliver the Service (e.g., AI inference services, which operate under confidentiality obligations). Applicant data is not used to train AI models without explicit written consent.

AI Output ownership: Reports and summaries generated by the Service from Your Content are owned by you. RealtoRHub AI claims no intellectual property rights over AI Output derived from your data.

Beta access

The Service is currently in private beta. Features may change without notice, and uptime is not guaranteed. We may suspend or terminate beta access at any time with or without cause. Beta participants agree to provide feedback to help improve the product.

Intellectual property

The Service, including its design, software, and original content, is owned by RealtoRHub AI and is protected by applicable intellectual property laws. You may not copy, reverse-engineer, decompile, or create derivative works from the Service without our prior written permission.

Limitation of liability

To the maximum extent permitted by Ontario law, RealtoRHub AI is not liable for any indirect, incidental, special, or consequential damages arising from your use of the Service or reliance on AI Output, including but not limited to lost revenue, missed rental opportunities, wrongful tenancy decisions, or regulatory penalties arising from your use of AI-generated assessments. Our total liability to you shall not exceed the fees you paid in the preceding 12 months (or CAD $100 during beta).

Changes to these terms

We may update these Terms of Service. We will notify you by email at least 14 days before material changes take effect. Continued use after the effective date constitutes acceptance.

Governing law

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Disputes will be resolved in the courts of Ontario.
